What are the types of bookings you offer?
The terms and conditions outlined below apply to all bookings with Aldwark Manor Estate whether you make them online at www.aldwarkmanorestate.co.uk or by telephone or in person. Booking online with Aldwark Manor Estate is quick, easy and completely secure. You will always be offered our best available rates of the day and we won’t be beaten on any other comparative or partner website. Types of rates:
Flexible Rate (Flex) When you book a standard flex rate, Aldwark Manor Estate will ask you for a credit/debit card number to secure your reservation only. No payment will be taken from your card and you will pay for your room on arrival at the hotel. All guests must present a payment card on arrival in their name. You can cancel your flex rate booking up to 3pm 72 hours prior to the day of arrival without penalty. If you fail to arrive or you cancel your reservation after 4pm 72 hours prior to the day of arrival, you will be charged for your first night’s accommodation.
Advanced purchase saver rate When you book a standard advanced purchase rate, Aldwark Manor Estate will take full prepayment from your debit/credit card at the time of booking. The advanced purchase saver rate is non-refundable and cannot be transferred to an alternative date or name.
Promotional offers and packages When you book a promotional package, including seasonal promotions, you will be asked for full pre-payment unless stated otherwise. When you book a golf package, you will be asked for a 25% non-refundable deposit at the time of the booking. The balance is payable at the hotel on arrival or in the event of cancellation or non-arrival. All promotional packages are non-refundable and non-transferable. We reserve the right to withdraw any offer at any such time.
Charging Items to your room Please carry your charge card with you if you wish to charge any items to your room during your stay with us. If you have lost or forgotten your card, please contact Reception. When you arrive at the hotel, all reservations will require a pre-authorisation with a credit card or cash deposit to cover any extras during your stay. All incidentals should be settled prior to departure. Aldwark Manor Estate accept payments by American Express, MasterCard, Visa, Maestro and Cash
Drinks Only alcoholic drinks purchased from the hotel may be consumed in the hotel. We reserve the right to charge the appropriate corkage charge where guests bring in their own alcohol.
First Aid We aim to ensure that a First Aider is always available. If you require any medical attention, please contact Reception on 0. For serious medical emergencies call 999.

Smoking and Vaping Policy
In accordance with UK legislation, smoking, including the use of electronic cigarettes and vaping devices, is strictly prohibited in all indoor areas of the hotel, including guest rooms and public spaces. To maintain a comfortable and safe environment for all guests, we kindly ask that smoking or vaping be confined to designated outdoor areas only. If there is evidence of smoking or vaping within a guest room, a minimum cleaning fee of £300 will be charged to cover the cost of deep cleaning and restoring the room to a smoke-free standard. Continued violation of this policy may result in eviction without refund and/or further charges.

Damage to Hotel Property
Guests are responsible for any damage caused to their room or to the hotel’s public areas during their stay. In cases where such damage is determined to be intentional, negligent, or not deemed accidental, the hotel reserves the right to charge the cost of repair, replacement, or deep cleaning to the guest’s account or credit card provided at check-in. This includes, but is not limited to, damage to furniture, fixtures, electronic equipment, linens, carpets, and walls, as well as any additional loss of income resulting from the room being taken out of service for repairs. The hotel also reserves the right to pursue legal action if necessary.

Golf Breaks
Golf breaks can be booked through our Booking Service, Tee times must be booked directly with the hotel or online, before arrival.
Before you play: We encourage all our guests to arrive at least 1 hour before their tee time so they can complete a pre-registration for check-in, and hit some warmup balls.
Buggies: Buggies are permitted on the course from £30.00 per buggy. If you have not already booked your buggies please contact the Golf Shop at the hotel and we will be more than happy to add these on to your reservation. Please note that the availability of buggies is always weather dependant and a decision will be made by the head greenkeeper at the beginning of each day, this is to ensure no undue damage is caused to the golf course.
Busy Periods: During busy periods, please be aware, it is our policy that all tee times are played as four-balls. Therefore, where required you will be expected to pair up with other guests.
Dress Code: Proper golfing attire is required at all times on the Golf Course, (i.e. no jeans, trainers, T-shirts or tracksuits). Players may wear tailored shorts with long socks, proper golf shoes must be worn on the course.
What happens if the weather means we cannot play golf?
The golf course will be deemed as playable unless the Course Manager (or deputy) determines that the golf course is unplayable and closes the golf course. In the event that the golf course is closed, the Hotel will find an alternative date or issue bad weather vouchers. Once play has commenced rights are waived to bad weather vouchers and / or refund.
If the course is closed due to weather 24 hrs prior to your event and the hotel expects you will not be able to play the course, the hotel will contact you to notify you. You can choose to either cancel your stay and provided this is rescheduled in the next 12 months no cancellation fee will apply or attend your event and be provided with a voucher to return to play golf at a later date.
Should the weather be poor on the day of the event and the course is closed, all catering, accommodation and additional arrangements will continue as planned and we will provide each golfer with a voucher for a complimentary round of golf.
Price Promotional rates are non-refundable and non-transferable. For non-promotional rates, customers can cancel up to 3pm 72 hours prior to arrival. Customers that don’t arrive or stay will be charged 100%. In circumstances of poor weather, we reserve the right to cancel any booking made on a promotional rate and rebook on an alternative date. We will give a minimum of 24 hours’ notice.

Do you allow children at the hotels?
Aldwark Manor welcome families and smaller guests.
Upgrade charges will apply if you need a larger bedroom to accommodate your family. When sharing a bedroom with your children, your room could include a foldaway bed, so please ensure that you ask at the time of booking.
Children up to 16 years will be charged £30 per child to include breakfast. All other meals are chargeable as taken; children’s dinner menus include small and large portion sizes to cater for children of all ages. Aldwark Manor has a minimum age requirement of 16 years old for booking a hotel room. Normal credit facilities apply.
Christmas and New Year residential packages are subject to different terms and conditions, which are available on request.
Dining
Sunday Lunch Offer – Terms and conditions apply and offer is subject to availability. This offer can only be redeemed once. One complimentary drink is available per person.
Special Offer at Bunkers Bar & Restaurant – Terms and conditions apply and offer is subject to availability. This offer can only be redeemed once. One complimentary drink is available per person.
Meetings and Events
Never Ordinary Events Meetings Package – Terms and conditions apply. Offer applicable for new bookings only. One entry per delegate. 5% credit based on confirmed and contracted business. Available for all bookings confirmed before 31 March 2024. Spend attributed to day delegate, 24-hour rates and corporate events only. All spaces are subject to availability.
Filming & Photoshoot Policy
Commercial photography or video shoot is not permitted at Aldwark Manor Estate public areas without express written permission from the hotel management. Examples of unauthorised professional or commercial photography or videography include engagement shoots, advertising shoots, model/fashion shoots/ filming etc.
Guests may shoot non-commercial photography or video for their own personal use (with no professional equipment, lighting, etc.) in their room or on the property but must respect the privacy and well-being of other guests in the area. All photography/ videography requests will be reviewed and approved based on occupancy, availability, and content.

Do you allow dogs in the hotels?
- The hotel does not allow dogs into the main hotel and Bunkers accommodation.
- Dogs are permitted in Bunkers Bar.
- You may bring a dog when staying in South Lodge, additional fees apply.
- Guide dogs are allowed in the hotel and throughout the hotel free of charge, including the restaurant and lounge.
Christmas Residential Packages T&Cs
- Prices are based on two guests sharing a room.
- Charges apply for children’s accommodation and meals when joining residential packages.
- New Year’s Eve celebration not available for under 18’s.
- 25% non-refundable deposit payable at the time of booking for all residential packages.
- Full and final payment to be made by 20th November 2024.
- If you are forced to cancel your booking, we will of course endeavour to re-sell, however, if the space is not filled, cancellation charges would apply for the full package. Please consider holiday insurance against unforeseen events and sickness.
- Menu allergen information is available upon request. Please advise dietary requirements at the time of final payment. Pre-order menu choices may be required for specific dates.
- All prices include VAT at the current rate with a discretionary 5% service charge added to your final bill.
Christmas Non Residential Dining T&Cs
- For private dining celebrations, the hotel’s event terms and conditions apply.
- Reservations are required for Festive Afternoon Tea, Festive Lunches and Festive Dining. Deposits may be taken on booking and cancellation policies will apply.
- Dietary requirements are to be advised in advance and menu allergen information is available upon request.
- All prices include VAT at the current rate and a discretionary 10% service charge will be added to your bill.
- Aldwark Manor Estate reserves the right to amend or replace any element of the programme with suitable alternatives.
- 20% discount on accommodation against our flexible rate. Not valid on packages.
